How to Export Asana Tasks and Clean the File Before You Import It Elsewhere

A practical walkthrough for exporting Asana projects as CSV or JSON, checking what came across, cleaning the file with free tools, and importing it into another task manager.

Switching task managers is rarely blocked by the new tool. It is blocked by the file you carry over: a half-checked export, duplicate rows, dates in three formats, and assignees whose names no longer match. This guide walks through exporting from Asana, checking what actually came across, cleaning the file with free tools, and importing it somewhere else.

According to Asana's help centre, a project can be exported as JSON or CSV. Open the drop-down menu next to the project title, hover over Export/Print and choose the file type. The same help page says you can also export a search view or My Tasks, which is useful if you want only your own open work rather than a whole project.

The help page does not spell out which fields come along, so do not assume. Comments, attachments and custom fields are the three most likely to go missing. Decide before you start whether any of them matter, and plan to copy attachments manually if they do.

Open the CSV in a spreadsheet and run three quick checks:

  • Row count. Compare the number of rows with the number of tasks in the project. Subtasks may appear as their own rows, so count them too.
  • Empty columns. Delete columns that are blank in every row; they only add noise during mapping.
  • Dates and names. Scan the date columns for mixed formats and the assignee column for names that will not exist in the new tool.

If you exported JSON instead, the JSON formatter makes the structure readable, and the JSON flattener turns nested objects into flat keys so they can become spreadsheet columns. Then the JSON to CSV converter produces a file you can open in any spreadsheet app.

Keep a copy of the original export and work on a second file. Then:

  1. Remove duplicates. If you merged exports from several projects, the same task can appear twice. For JSON data, the JSON duplicate remover does this in one pass; in a spreadsheet, use the built-in remove-duplicates feature on the task ID column.
  2. Standardise dates. Pick one format, usually ISO (YYYY-MM-DD), and convert every date column to it before importing.
  3. Map people. Create a short lookup table from old assignee names to the exact names or emails in the new tool.
  4. Trim titles. Some tools cap task-title length; shorten the long ones and move the detail into the description column.
  5. Verify the changes. Paste the original and cleaned versions into the diff checker to confirm you only changed what you meant to change.

If your target tool imports Excel or JSON rather than CSV, UrwaTools also has a CSV to JSON converter and a JSON to Excel converter. A similar cleaning checklist applies to lead lists headed for a CRM, and the Trello-specific version is covered in moving a Trello board into Airtable with JSON and CSV.

You may not need a file at all. Several task tools have a native Asana importer:

  • ClickUp lists Asana among its supported sources on its import page and maps Asana projects into an existing Folder or a new Space. It also accepts CSV or Excel files, mapping spreadsheet columns into ClickUp Lists. See ProductListo's ClickUp listing for pricing and plan details.
  • monday.com has an Asana import in its Import data menu. Its support article says a workflow is automatically added to imported boards to keep them synced with Asana, which is handy during a trial period. Pricing is summarised on the monday.com listing.
  • Trello is the lightest option if all you need is boards and cards; the Trello listing covers its plans.

Whether to use the importer or the cleaned file depends on how messy the source is. An importer is faster for a tidy project. A cleaned CSV gives you more control when the source has years of inconsistent data.

Keep the old Asana project readable but frozen for one sprint or reporting cycle. Spot-check ten random tasks in the new tool against the original: due date, assignee, description and subtasks. Fix mapping mistakes while you can still compare against the source.

If you are still deciding on a destination, ProductListo's guide to Asana alternatives compares seven tools on price and fit, including what each costs for a team of 10, 15 and 25 people. The wider Productivity guide lists every tool in the category. Makers of project and work management tools can submit a tool to the ProductListo directory, and writers or vendors with a topic idea can see the write for us page.

Asana's export steps come from Asana Help: project importing and exporting. Importer details come from ClickUp's import page and monday.com's support article on importing from Asana. Vendor features change, so confirm on the vendor page before you migrate.

Frequently asked questions

Can you export an Asana project to CSV?
Yes. Asana's help centre says a project can be exported as JSON or CSV from the drop-down menu next to the project title, under Export/Print. Search views and My Tasks can be exported as well.
Does the Asana export include comments and attachments?
Asana's help page does not state which fields are included, so check the file after exporting. Plan to copy comments or attachments manually if they matter.
Can ClickUp import Asana projects directly?
Yes. ClickUp's import page lists Asana as a supported source and lets you map Asana projects into an existing Folder or a new Space. It also accepts CSV or Excel files.
How do I convert an Asana JSON export to CSV?
Flatten any nested objects first, then convert the JSON array to CSV. A JSON flattener and a JSON to CSV converter handle both steps in the browser, and you can then open the result in any spreadsheet app.
How do I check my cleaned file did not lose data?
Keep the original export and compare it against the cleaned version with a diff checker, then compare the row count against the task count in Asana before importing.
